Formatting Your Data

- Consistent formatting. Use the same format for all names: first name, last name. Avoid mixing formats (e.g., "Smith, Robert" in some rows and "Robert Smith" in others).
- Include additional identifiers. If you have dates of birth, addresses, or ID numbers, include them. This helps with false positive resolution.
- Clean your data. Remove duplicates, fix obvious typos, and standardize name fields before uploading. Garbage in, garbage out.
- Entity names. For business customers, include the full legal entity name. Also consider screening the beneficial owners separately.
How Often to Batch Screen
The right frequency depends on your risk profile, your regulatory requirements, and your customer volume. Some common approaches:
- Monthly: This is a good baseline for most businesses. It catches new designations within a reasonable timeframe.
- After every OFAC list update: If you want to be more thorough, rescreen whenever OFAC publishes an update. This provides the tightest coverage but requires more frequent screening.
- Quarterly: For lower-risk businesses with relatively stable customer bases, quarterly rescreening may be sufficient.
- Event-driven: In addition to scheduled rescreens, screen before large transactions, at policy renewal (for insurers), or at other key milestones.
Whatever frequency you choose, document it in your compliance policy. Examiners and auditors will want to know your rescreening schedule and see evidence that you follow it.
Handling Batch Screening Results
Batch screening will almost certainly produce some potential matches, especially if you have a large customer base. Most of these will be false positives. Here is how to handle the results efficiently:
- Review each potential match. Compare the customer's identifying details against the sanctions list entry.
- Determine true match vs. false positive. Use date of birth, address, nationality, and other identifiers to make your determination.
- Document your analysis. For each potential match, record your findings and conclusion.
- Take action on true matches. If you identify a true match, follow your match-handling procedures (block, report, escalate).
- Clear false positives. Mark resolved false positives so they do not require full re-investigation every time you run a batch screen.
Documentation and Audit Trails
Keep records of every batch screening you perform. At minimum, document:
- The date of the screening
- The number of records screened
- The lists screened against
- The number of potential matches returned
- The disposition of each potential match
